Getting Started with Kraaft: Your First Week on the Job Site
Construction moves fast. Between coordinating crews, managing subcontractors, and keeping clients updated, paperwork often falls to the end of the day — or worse, the end of the week. That's exactly why Kraaft exists: to make field documentation as quick and painless as possible, right from your phone.
If you've just signed up or your company has recently rolled out Kraaft, this guide will walk you through everything you need to get up and running in your first week.
Step 1: Set Up Your Workspace
After creating your account, the first thing to do is configure your workspace. Think of your workspace as your company's home base inside Kraaft — it's where all your projects, teams, and reports live.
What to do:
- Add your company name and logo so that reports you generate look professional from day one.
- Invite your team members. Go to Settings → Team and send invitations by email. You can assign roles (Admin, Member,) so everyone has the right level of access.
- Connect your existing folder structure if you're migrating from another tool.
Getting your team in early means everyone can start contributing reports immediately, rather than having to share files back and forth later.
Step 2: Create Your First Project
Projects in Kraaft map directly to your real-world job sites. Each project has its own feed of updates, photos, and reports — keeping everything organized by location.
To create a project:
- Tap the + button on the home screen.
- Give the project a name (e.g., "Rue Gambetta — Rénovation R+3").
- Add key details: client name, site address, and start date.
- Assign team members who'll be working on or visiting this site.
Once the project is live, anyone on the team can start posting updates, uploading photos, and logging observations directly from the field.
Step 3: Post Your First Site Update
This is where Kraaft really shines. Rather than writing up reports back at the office, you capture everything in real time — from your phone, on site.
Open your project and tap New Message. You can:
- Write a note about what's happening on site.
- Attach photos or videos straight from your camera roll or taken on the spot.
- Tag a category (e.g., Safety, Progress, Issue) so updates are easy to filter later.
- Mention a team member to flag something for their attention.
All of this goes into the project feed instantly, visible to everyone with access. No more WhatsApp threads or emailed photos that get lost in inboxes.
Step 4: Generate a Report
When it's time to share progress with a client, architect, or project manager, Kraaft turns your field updates into a polished PDF report in just a few taps.
Here's how:
- Open your project and tap Generate Report.
- Select the date range and categories you want to include.
- Choose a template (Kraaft comes with standard ones, and your admin may have set up custom ones for your company).
- Preview, then share — by email, link, or download.
What used to take an hour now takes two minutes. The report pulls in your photos, notes, and timestamps automatically, so there's nothing to copy-paste or format manually.
Step 5: Build a Routine
The teams that get the most out of Kraaft are the ones that make it part of their daily rhythm. A few habits that work well:
- Morning check-in: Glance at the project feed before heading to site to see if anything needs your attention.
- Post as you go: Add a quick photo or note whenever something notable happens — don't wait until the end of the day.
- Weekly report: Set a recurring time (Friday afternoon works well for many teams) to generate and send the week's progress report to your client.
